Accounts Payable & Payroll Clerk

The Accounts Payable and Payroll Clerk is responsible for a variety of clerical and accounting duties related to accounts payable for the organization. This position is also responsible for knowing all aspects of payroll processing including time clock maintenance, pay calculations, and issuing payroll checks.

Essential Duties and Responsibilities

Accounts Payable

  • Works with leadership for appropriate invoice approval, general ledger coding, timely processing of invoices for payment, and weekly check runs.
  • Maintains vendor accounts.
  • Reviews and researches vendor statements as needed.
  • Prepares use tax reports and processes for payment.
  • Researches invoice and payment information as needed.
  • Receives and processes incoming mail.

Payroll Clerk

  • Uses Paylocity software system to administer the company’s payroll.
  • Audits payroll reports and resolves payroll discrepancies.
  • Receives, reviews, processes and retains records regarding employee garnishments.
  • Maintains payroll information by collecting, calculating and entering data in system.
  • Monitors employee hours in the time clock system; communicates with managers regarding missing data/forms as needed.
  • Reviews and verifies missing punches and leave forms turned into Payroll to data entered into the timekeeping system by managers.

Other

  • Maintains confidence and protects operations by keeping all information confidential.
  • Required to follow OCR and departmental policies and procedures.
  • Other duties as assigned.

Requirements

  • High school diploma or equivalent required.
  • Proficient in Microsoft Office Suite; especially Excel; Microsoft Dynamics/Great Plains experience preferred
  • Strong customer services skills
  • Strong attention to detail with ability to maintain accurate tracking and records.
  • Demonstrates a basic understanding of accounting skills and GAAP principles.
  • Ability to perform data entry with speed and accuracy and utilize 10 key by touch.

Physical Requirements

  • The work environment is the typical office environment. The employee must be able to complete their work satisfactorily in an environment where there are significant distractions, including staff, patients, and vendors walking through and conversing, telephones ringing, conversations carrying over, loud noises, and interruptions to answer questions from others.
  • While performing the duties of this job, the employee is frequently required to sit and use hands to finger, handle, or feel objects, tools, or controls up to 8 hours per day. The employee frequently is required to talk or hear. The employee is occasionally required to stand; walk; reach with hands and arms, and stoop, kneel, crouch, or crawl.
  • The employee may occasionally lift and/or move up to 20 pounds and should do so in a sound and safe manner. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
